HOW TO CREATE JOBS IN THE W.E. APP

The Jobs Tab

The Jobs tab is where all your job cards (or job board) will be stored once you start creating jobs—whether for your company or as an individual. At the top, you’ll see two tabs: Active and Pending.

• Pending Jobs: These are jobs that have been created but not started yet. A job stays “pending” until time has been tracked against it.
• Active Jobs: Once time starts being tracked on a pending job, it automatically moves to “active.”

💡 Tip: If you don’t want a job to move to “active” yet, avoid assigning workers or tasks until you’re ready. Once someone starts tracking time, the job will switch to active.

On the left, you’ll also see Archived Jobs—these are typically completed jobs that you want to remove from your active job list without deleting them permanently.

To the right, you’ll find the Create Job button, where you can begin creating a new job.

Step-by-Step: Creating a Job

1. Click “Create Job”.
   A new form screen will pop up with the following details:
   • What is the job name?: Enter a name for your job.
   • Estimated Hours: Input the labor hours you estimate for this job.
   • Assign Manager: You can assign yourself or select a manager/project manager if you aren’t completing the setup.
2. You can also:
   • Save jobs as templates to reuse later.
   • Save incomplete jobs and return to finish them later.

Job Example: 7/11 Gas Station

Let’s walk through an example.

1. Job Name: “7/11 Gas Station”
2. Estimated Hours: “120”
3. Assign Manager: Select a manager or yourself, and then move on to the next step.

Phases and Tasks

The WE App allows you to break down jobs into phases and tasks for better time tracking.

• If you don’t need detailed tracking, you can simplify time tracking down to just the basic job. Do the following:
  • Use “Name Phase Same as Job” to copy over job-level details.
  • Use “Name Task Same as Phase” for basic tracking.

This will allow you to track time to just a general job.

Why might you want to track time more granularly then this? Tracking time specifically to tasks allows you to really see how much time specific tasks take so you can make your estimates more and more accurate. It also helps you see where the bottle necks are and what is holding up projects so you can take action.

For detailed tracking, which is great for measuring actual time against specific tasks, here’s how you do it:

Example Phases:

For the 7/11 Gas Station job, you might define the following phases:

1. Embeds & Anchors
2. Columns
3. Beams
4. Decking
5. Misc. Steel

• Tip: Provide date ranges and time estimates for each phase. Don’t worry if the estimates aren’t perfect—this will serve as a base comparison for actual hours.

Example Tasks:

Within each phase, you can add specific tasks.

• For “Embeds & Anchors”: I am going to use the “Name Task Same as Phase” option.
• For “Columns”: I am going to get more detailed to track how long specific tasks take, like fabrication for each column:
  • Task 1: Column C1
  • Task 2: Column C2
  • Task 3: Column C3
  • Task 4: Column C4

This level of detail allows you to track time against individual members, making it easier to measure performance and out put per column.

Saving the Job

Before finishing:

• You can mark tasks as Priority so they appear at the top of your team’s task boards.
• If you want to save your setup as a template, toggle the “Make Template” option and name your template.
• If you need to come back later, simply Save as Draft.

Finally, review the Job Overview:

• Job Name
• Estimated Job Hours
• Phases and Tasks
• Assigned Manager

Click Save. Your job is now saved in Pending Jobs.
